PROJECT, PROGRAM AND EVENT CHANGES, CANCELLATION AND POSTPONEMENT POLICY
Effective Date: September 19, 2026
Last Updated: September 19, 2026
This Policy applies to all Vertières Legacy events, programs, cultural activities, educational initiatives, artistic exhibitions, vernissages, philanthropic and community-impact projects, fundraising campaigns, Cultural Journeys, livestreams, media presentations, workshops, conferences, and other scheduled initiatives.
Vertières Legacy may occasionally need to modify, postpone, relocate, suspend, replace, extend, shorten, or cancel a project, program, campaign, activity, or event because of funding availability, community needs, partner or vendor availability, venue conditions, artist availability, production requirements, transportation disruption, severe weather, public-safety concerns, governmental action, legal requirements, emergencies, or circumstances beyond reasonable control.
The remedy available will depend on the nature of the affected activity, the portion already delivered, funds already committed to vendors or beneficiaries, project-specific terms, and applicable law.
-
OFFICIAL STATUS AND ANNOUNCEMENTS
A project, program, event, campaign, or Journey is considered officially changed, postponed, relocated, suspended, rescheduled, or canceled only when Vertières Legacy announces that status through one or more authorized channels:
• vertiereslegacy.com
• The email used for the transaction or registration
• An official Vertières Legacy social-media account
• An authorized SMS or WhatsApp notification
• The applicable venue
• An authorized ticketing, project, or community partner
Unofficial posts, rumors, reseller messages, fan pages, or third-party comments are not official announcements.
-
MODIFICATIONS
Vertières Legacy may make reasonable changes to:
• Dates and times.
• Venues or project locations.
• Artists, performers, speakers, hosts, or facilitators.
• Program order or schedule.
• Production, exhibition, or media elements.
• Vendors, suppliers, contractors, or project methods.
• Transportation, lodging, guides, or itinerary components.
• Fundraising targets, campaign periods, or implementation schedules.
• Project scope, phases, or delivery sequence.
• Volunteer roles or participation requirements.
• Beneficiary numbers or distribution methods.
• Livestream platforms or technical delivery methods.
A nonmaterial change does not automatically constitute cancellation or create a refund right.
-
CANCELED TICKETED EVENT
An event is canceled when it will not take place and no replacement date is planned.
For a ticketed event canceled by Vertières Legacy:
• Eligible tickets and packages purchased directly through Vertières Legacy will be refunded to the original payment method.
• Customers will not ordinarily need to submit a separate request unless additional information is required.
• Vertières Legacy will generally initiate eligible refunds within 10 business days after confirming cancellation and reconciling transactions.
• Banks and payment providers may require additional posting time.
Refunds apply only to eligible amounts paid directly to Vertières Legacy.
Independent travel, lodging, transportation, parking, meals, childcare, clothing, or other personal expenses are not refundable unless expressly included or required by law.
-
POSTPONED OR RESCHEDULED EVENT OR PROGRAM
An activity is postponed when it will not occur as originally scheduled and a replacement date has not yet been finalized.
It is rescheduled when a new date is confirmed.
Unless otherwise announced:
• Original tickets and registrations remain valid.
• Customers should retain confirmations and QR codes.
• Reserved seating or table assignments will be preserved where reasonably possible.
• Updated instructions will be sent through authorized channels.
After the new date is announced, an eligible purchaser unable to attend may request a refund within 14 calendar days unless a different deadline was disclosed.
-
RELOCATION OR TIME CHANGE
An activity may move to another room, venue, platform, project site, or time because of operational, safety, availability, or community requirements.
A reasonable adjustment within the same metropolitan area or a reasonable online-platform change does not automatically create a refund right when the activity remains substantially equivalent.
For a material relocation outside the original metropolitan area, Vertières Legacy will announce whether existing purchases remain valid and whether a refund window applies.
-
ARTIST, SPEAKER, EXHIBITOR, OR PROGRAM CHANGE
Activities may involve multiple artists, performers, speakers, hosts, exhibitors, facilitators, or program elements.
Unless an individual appearance was expressly sold as the sole and essential subject of the purchase, a change in one participant or program component does not constitute cancellation when the overall activity proceeds.
-
NON-TICKETED PROGRAMS AND COMMUNITY ACTIVITIES
A free or non-ticketed program may be modified, postponed, relocated, limited, or canceled.
Registration does not guarantee admission when capacity, safety, eligibility, documentation, or operational requirements cannot be satisfied.
When appropriate, registered participants will receive updated instructions, alternative dates, remote participation options, or notice that the activity has ended.
-
PHILANTHROPIC AND COMMUNITY-IMPACT PROJECTS
Philanthropic and community projects may depend on funding, permits, suppliers, local conditions, partners, security, weather, beneficiary eligibility, transportation, and community cooperation.
Published budgets, beneficiary numbers, schedules, phases, and completion dates are good-faith projections and may change.
Vertières Legacy may make reasonable modifications while seeking to preserve the project’s stated general purpose.
A project modification does not automatically require return of contributions, particularly when funds have already been committed or used for the stated initiative.
If a restricted project becomes impossible, unlawful, unsafe, fully funded, or no longer reasonably practicable, remaining funds will be handled according to campaign terms, donor restrictions, partner agreements, and applicable law.
-
FUNDRAISING CAMPAIGNS
A fundraising target is an objective—not a guarantee that the full amount will be raised or that every planned component will be completed exactly as initially described.
The campaign page should state whether:
• The project can proceed with partial funding.
• Implementation occurs in phases.
• Administrative, processing, production, or delivery costs may be paid from collected funds.
• Excess funds may support a related initiative.
• Contributions are refundable.
• Another organization or fiscal sponsor receives or administers funds.
Material changes will be communicated through appropriate channels when reasonably possible.
-
SPONSORSHIPS AND PARTNERSHIPS
If a project or event changes, Vertières Legacy will make reasonable efforts to preserve agreed sponsor benefits through the rescheduled activity, substitute placement, digital exposure, credit, or another comparable benefit.
Refunds or credits are governed by the applicable sponsorship agreement.
-
CULTURAL JOURNEYS
A change to one transportation, lodging, venue, restaurant, guide, or itinerary component does not necessarily cancel the entire Journey.
Vertières Legacy may make reasonable substitutions necessary for safety, availability, weather, transportation, legal requirements, or operational needs while seeking to preserve the overall nature and value of the Journey.
If Vertières Legacy cancels an entire Journey before departure, the Journey-specific terms will govern:
• Refundable amounts paid directly to Vertières Legacy.
• Nonrecoverable third-party costs.
• Travel credits.
• Supplier refunds.
• Insurance claims.
• Rebooking options.
If an independent provider cancels only its service, that provider’s refund, credit, or rebooking rules may apply.
Travel insurance is strongly recommended.
-
LIVESTREAMS AND DIGITAL PROGRAMS
A livestream or digital program may be delayed, interrupted, moved to another platform, replaced with a recording, or rescheduled because of internet, platform, power, production, licensing, security, or technical problems.
If a paid livestream cannot be delivered live, Vertières Legacy may provide:
• A rescheduled livestream.
• Access to a recording.
• Substitute digital content.
• Account credit.
• A refund where appropriate.
The available remedy will depend on the product description and portion successfully delivered.
-
WEATHER, SAFETY, AND EMERGENCIES
Activities ordinarily continue unless Vertières Legacy or an authorized partner announces otherwise.
Participants should not assume cancellation solely because of rain, snow, heat, transportation conditions, or a forecast.
If conditions require evacuation, early termination, postponement, or cancellation, the remedy will depend on the circumstances, completed portion, contractual commitments, insurance coverage, and applicable law.
-
FORCE MAJEURE
Circumstances beyond reasonable control may include:
• Natural disasters and severe weather.
• Fire, flood, earthquake, epidemic, or pandemic.
• War, terrorism, civil unrest, or political instability.
• Governmental restrictions or border closures.
• Transportation shutdowns.
• Utility, internet, platform, or infrastructure failures.
• Labor interruptions.
• Venue or project-site closures.
• Artist, speaker, or essential-person incapacity.
• Supply shortages or vendor failure.
• Serious public-health or safety threats.
Vertières Legacy will make reasonable efforts to reschedule, relocate, substitute, provide credit, continue in phases, or issue an appropriate refund where required.
Nothing in this section removes rights that cannot legally be waived.
-
COMMUNICATION RESPONSIBILITY
Customers and participants must provide accurate contact information and review official communications.
Vertières Legacy is not responsible for a missed notice caused by:
• Incorrect contact information.
• Full inboxes.
• Spam filtering.
• Disabled SMS, WhatsApp, or email notifications.
• Failure to review communications.
• Changes to a third-party account outside our control.
-
REFUNDS
Refund eligibility is governed by the Refund and Cancellation Policy and any applicable project-specific terms or agreement.
Approved refunds are normally returned to the original payment method.
